Build an inspection template
Inspection templates are the checklists your technicians run on a job. You build your own templates in Workshop Settings with sections, items, and the responses each item should take. A template is turned into a live inspection at capture time, so editing a template shapes every inspection that runs against it next.
Your workshop, your checklists
Openhood does not hardcode inspections. Each organisation builds its own templates, because workshops have very different checklist needs.
Sections and items
A template is organised as sections, and each section holds items. Use the template builder to add sections, add items under them, and drag to reorder both. The builder shows a running count of the items you have authored so you can see how big the checklist is.
- Open Workshop Settings and go to Inspection Templates. Drag templates in the list to set the order your team sees them.
- Create a template, then add sections to group related checks.
- Add items under each section and switch on the response capabilities each one needs.
- For severity items, choose Full or Pass / Fail mode. For score items, set the unit and the thresholds that auto-rate the result.
- Drag sections and items into the order a technician should work them, then save.
Response capabilities
An item is one row, and you switch on the capabilities it needs. One item can combine several:
- Selection. The severity scale a technician taps. Full mode offers the whole scale; Pass / Fail mode narrows it to Fail and Pass for checks with no middle ground.
- Score. A numeric or slider input with a unit, for values like tread depth in mm, tyre pressure in psi, odometer in km, or fuel level as a percentage. Thresholds auto-rate the severity from the number, so a tread reading at or below your Critical threshold rates itself.
- History. A km and date pair, for items like "last brake service" where the age of the work is the finding.
- Text. A free text note.
- Work Done. A quick-add category for recording completed work as part of the checklist.
- Media required. Any item can additionally require a photo or video before it counts as answered.
A unit matters because a plain score cannot tell tread depth from pressure. The unit also gives the voice assistant and the report the context they need.
Custom items during an inspection
Sections allow one-off custom items by default, so a technician who finds something with no matching row can add it during the inspection without touching your template. Switch this off per section when a checklist must stay fixed.
Standard templates
Your workshop starts with Openhood's standard template library, copied into your organisation as your own editable templates. Edit, reorder, archive, or duplicate them like anything you built yourself; your copies are yours.
The phone preview
On a wide desktop screen, the builder shows a read-only preview of the template as it will look on a technician's phone. Clicking a section in the preview selects it in the builder, and clicking a row expands the matching item. The preview never creates an inspection, saves results, uploads media, runs voice, or submits anything. It is there so you can author against the workflow a technician will actually use.
Saving safely
The builder tracks unsaved changes and warns you before you navigate away, refresh, or close the tab, so a dense setup session is not lost by accident. Saved edits version the template, and archiving is reversible.
